A Note of Thanks

By Jill-Marie Zachman

Expressing appreciation to others is very important. It makes the giver feel valued and appreciated. It communicates that their deed is acknowledged, and not taken for granted. Yet, many people neglect or forget to so do. Some people have never been taught the importance of expressing thanks.

In business, it is essential to express gratitude and appreciation. Whether with clients, customers or business associates, it not only demonstrates good manners, but also makes an invaluable impression; a good impression! This simple gesture communicates many things, and brings a certain value and respect to the relationship.  Anyone successful in business will tell you, whether networking or working with customers, it’s all about relationships.

When should you thank someone? When they have given you a gift, treated you to something special or has done a special deed or favor. Examples of these might be …

  • •When you receive a tangible gift.
  • •When you are someone’s guest for lunch or dinner.
  • •When someone personally picks up a project or other responsibilities. for you, when you’re out sick.
  • •When someone has brought you business because of his or her referral.
  • •When you’ve interviewed for a job.

When thanking someone, always verbally express your thanks. When doing so, be sure the giver truly understands the message of appreciation you want to convey. Look the giver in the eye; speak clearly, and with a positive expression in your voice, say, “Thank you.” For example, “Thank you for treating me to dinner. I appreciate your generosity.” OR, I appreciate the opportunity to interview for this position. Thank you for your time.”

Next, follow through with a thank-you note. When sending a thank-you note, it is polite to send it within seven to ten days of receiving the gift or kind gesture. A thank you note should include …

  • A proper greeting
  • Specifically name the item, or kind gesture
  • Why you appreciate it
  • How you intend to use it or how you benefited from it
  • A proper closing

What about sending an e-mail thank you over snail mail? An e-mail thank you is better than no thank you at all; however, a handwritten thank-you card or note makes more of an impression, which ultimately makes you memorable. You choose!
